ProHire ("we", "us", or "our") operates the ProHire mobile application and website at prohire.club (collectively, the "Platform"). This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our Platform.
By using ProHire, you agree to the collection and use of information as described in this policy.
1. Information We Collect
1.1 Information You Provide
- Account information: Your name, email address, and profile photo when you create an account via Google Sign-In, Apple Sign-In, email/password, or phone number.
- Phone number: If you sign in with phone authentication, we collect your phone number and use it solely for account verification via SMS.
- Profile information: If you register as a contractor, your bio, service categories, hourly rate, city, portfolio images, certifications, and service packages.
- Job postings: Job titles, descriptions, budgets, categories, locations, and images you upload when posting a job. This includes volunteer and community job postings.
- Bids: Bid amounts, messages, and estimated timelines you submit on jobs.
- Messages: Content of messages you send to other users through our in-app messaging feature.
- Reviews and endorsements: Ratings and written reviews you leave for contractors, and endorsements you give to other contractors.
- Favourites: The list of contractors you save as favourites.
- Referral data: Referral codes you generate or use, and which users you referred.
- Payment information: In-app purchase transaction details processed through Google Play (Android) or Stripe (web). We do not directly collect or store your credit card numbers or bank account details.
- Verification documents: Professional credentials and/or identity documents voluntarily uploaded by contractors to obtain a Verified badge on their profile. See Section 1.4 for details.
- Photo library (iOS): If you choose to upload images from your camera roll on iOS, we access your photo library solely to retrieve the images you select. We do not browse or store your broader photo library.
1.2 Information Collected Automatically
- Location data: Your approximate location (city-level) when you grant location permission, used to show nearby jobs and contractors. We use the Google Maps and Places APIs to provide location-based features.
- Device information: Device type, operating system version, and unique device identifiers for push notifications.
- Usage data and analytics: How you interact with the Platform, including pages visited, features used, search queries, job views, contractor profile views, bids submitted, bookings created, and timestamps. This data is collected through Firebase Analytics (mobile) and Google Analytics 4 (web).
- User properties: Your user role (client or contractor) and anonymised user identifier, set as analytics properties to help us understand Platform usage patterns.
- Activity feed data: A record of your actions on the Platform, such as job updates, bid status changes, and booking milestones.
1.3 Information from Third Parties
- Google Sign-In: If you sign in with Google, we receive your name, email address, and profile photo from your Google account.
- Apple Sign-In: If you sign in with Apple, we receive your name and email address (which Apple may relay through a private address) from your Apple account.
1.4 Verification Documents
Contractors may voluntarily upload professional credentials or identity documents to ProHire in order to obtain a Verified badge on their profile. This information is:
- Stored securely in Firebase Storage with restricted access.
- Reviewed by ProHire staff solely for the purpose of issuing or denying the Verified badge.
- Retained for the duration of the account, and deleted upon account deletion.
Submission of verification documents is entirely voluntary. Contractors who do not wish to provide this information may still use the Platform without a Verified badge.
2. How We Use Your Information
We use the information we collect to:
- Create and manage your account.
- Display your profile to other users (clients see contractor profiles; contractors see job details posted by clients).
- Show relevant jobs and contractors based on your location and preferences.
- Provide smart matching suggestions that connect clients with suitable contractors based on location, categories, ratings, and other factors.
- Facilitate communication between clients and contractors through in-app messaging.
- Process bids, bookings, and reviews.
- Display endorsements on contractor profiles.
- Maintain your favourites list and activity feed.
- Send push notifications about new bids, messages, bookings, and job updates.
- Process in-app purchases (boosts for job postings) through Google Play or Stripe.
- Operate the referral programme and track referral activity.
- Generate shareable deep links for jobs and contractor profiles.
- Improve the Platform's functionality and user experience through analytics.
- Track conversion funnels (sign-up, browsing, bidding, booking, review) to improve the service.
- Power AI-assisted text generation features when you choose to use them (see Section 9).
- Detect and prevent fraud or abuse.
- Comply with legal obligations.
3. Legal Basis for Processing (EU/EEA Users)
If you are located in the European Union (EU) or European Economic Area (EEA), we process your personal data under the following legal bases as defined by the General Data Protection Regulation (GDPR), Article 6:
- Contract performance (Art. 6(1)(b)): Processing necessary to provide the Platform's services to you — including account creation, job postings, bids, bookings, messaging, and reviews.
- Consent (Art. 6(1)(a)): Where you have given explicit consent, such as opting in to analytics cookies on the web, or enabling push notifications.
- Legitimate interests (Art. 6(1)(f)): Processing necessary for our legitimate interests, such as fraud prevention, Platform security, and improving our services — provided these interests do not override your fundamental rights and freedoms.
- Legal obligation (Art. 6(1)(c)): Processing required to comply with applicable laws, such as tax and accounting requirements.
You may withdraw your consent at any time where consent is the legal basis for processing. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.
4. International Data Transfers
ProHire stores data on Firebase (Google Cloud) infrastructure, which may be located in the United States or other countries outside the EU/EEA. When your personal data is transferred outside the EU/EEA, we rely on the following safeguards:
- Standard Contractual Clauses (SCCs): Google Cloud operates under European Commission-approved Standard Contractual Clauses for international data transfers.
- EU Adequacy Decisions: Where applicable, data may be transferred to countries that the European Commission has determined provide an adequate level of data protection.

5. How We Share Your Information
We do
not sell your personal information.
We share information only in these circumstances:
- With other users: Your name, profile photo, city, and relevant professional information (bio, categories, ratings, endorsements, service packages) are visible to other users as part of the marketplace functionality. Messages are visible only to conversation participants. Your favourites list is private.
- Service providers: We use third-party services to operate the Platform (see Section 12 for a full list). These providers process data in accordance with their own privacy policies.
- Legal requirements: We may disclose your information if required by law, court order, or government request.
- Business transfers: If ProHire is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
6. Cookies and Web Tracking
When you use ProHire on the web (prohire.club), we use Google Analytics 4 to collect usage data. By default, analytics storage is
denied until you provide consent. When you grant consent:
- Google Analytics may set cookies to measure user interactions and session data.
- No advertising cookies are used.
You can manage cookie preferences through the consent prompt on the website or through your browser settings.
On the mobile app, Firebase Analytics is used instead of cookies and follows Google's data handling practices.

7. Data Storage and Security
- Your data is stored on Firebase (Google Cloud) servers.
- All data is encrypted in transit using HTTPS/TLS.
- Data at rest is encrypted by Firebase.
- We use Firebase Authentication for secure account management, supporting Google Sign-In, Apple Sign-In, email/password, and phone number (SMS) authentication.
- Payment processing on the web is handled by Stripe, which is PCI-DSS compliant.
- While we take reasonable measures to protect your information, no method of electronic storage or transmission is 100% secure.
8. Your Rights and Choices
8.1 Access and Update
You can view and update your profile information at any time through the Platform's profile settings.
8.2 Delete Your Account
You can request account deletion through
Settings > Delete Account in the app. When you delete your account:
- Your profile information, including contractor profiles and service packages, is removed.
- Your job postings, bids, bookings, and reviews are removed.
- Your messages, favourites, activity feed data, endorsements, and referral data are removed.
- Your boost purchase history is removed.
- Some anonymised data may be retained for analytics and legal purposes.

8.3 Location
You can disable location permissions through your device settings. This may limit certain features (e.g., showing nearby jobs and contractors).
8.4 Push Notifications
You can disable push notifications through the app's settings or your device settings.
8.5 Analytics Consent (Web)
On the web platform, you can withdraw analytics consent at any time, which will stop the collection of usage data via Google Analytics.
8.6 Sign-In Providers
- Apple Sign-In: You can revoke ProHire's access through your Apple ID settings under Sign-In & Security > Sign in with Apple.
- Phone number: You can remove your phone number by deleting your account.
8.7 Additional Rights for EU/EEA Users
If you are located in the EU or EEA, you have additional rights under the GDPR (Articles 15–22):
- Right of access (Art. 15): Request a copy of the personal data we hold about you.
- Right to rectification (Art. 16): Request correction of inaccurate personal data.
- Right to restriction of processing (Art. 18): Request that we limit how we use your data in certain circumstances.
- Data portability (Art. 20): You may request a copy of your personal data in a structured, commonly used format by contacting us at prohireclub@gmail.com. We will provide your data within 30 days.
- Right to object (Art. 21): Object to processing based on legitimate interests, including profiling.
- Right to withdraw consent: Where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing.
- Right to lodge a complaint: You have the right to lodge a complaint with your local Data Protection Authority (DPA) or supervisory authority if you believe your data protection rights have been violated.

9. AI-Powered Features
ProHire includes optional AI text generation features to help users draft content more efficiently. These features include:
- Job description writing — generating a job description based on a title, category, budget, and city.
- Contractor bio generation — drafting a profile bio based on a contractor's certifications, experience, and service categories.
- Message suggestions — suggesting replies based on a conversation's message history.
- Review response drafting — suggesting a response to a client review based on the review text, rating, and contractor name.
How AI processing works
When you choose to use an AI generation feature, the relevant content you have provided (such as job title, category, budget, city, contractor name, certifications, experience, conversation history, or review text and rating) is transmitted to Google's Gemini API via Firebase Cloud Functions for processing. Google returns generated text, which is presented to you for review before you use it.
- Google processes this content under Google's Privacy Policy and Google's data processing terms for Firebase / Vertex AI enterprise customers.
- Content submitted for AI generation is not used to train Google's models; Firebase and Vertex AI enterprise data processing terms explicitly prohibit use of customer data for model training.
- AI generation features are always user-initiated — no content is sent to the AI automatically. You may choose not to use these features at any time with no impact on other Platform functionality.
Usage limits
- Free users may use AI generation features up to 3 times per day.
- ProHire+ subscribers have a higher daily limit of 100 generations per day.
10. Automated Decision-Making and Profiling
In accordance with GDPR Article 22, we are transparent about the automated systems that may affect how content is ranked or displayed to you on the Platform.
Bid quality scoring
When a contractor submits a bid, an automated system evaluates the quality of the bid based on factors such as relevance, completeness, and professionalism. Lower-quality bids may be ranked lower in the list of bids visible to a client. This system uses Google Gemini AI as its underlying model.
Review moderation
An automated system reviews newly submitted reviews and flags content that may be inappropriate, spam, or in violation of our community guidelines. Flagged reviews may be withheld from public display pending manual review by ProHire staff. This system uses Google Gemini AI as its underlying model.
Smart contractor matching
When a client views job suggestions or searches for contractors, an automated ranking algorithm suggests relevant contractors based on factors including location, service categories, ratings, and availability. This is an automated ranking that helps surface potentially suitable contractors — it is not a definitive endorsement of any individual contractor.
Your rights regarding automated decisions
EU/EEA users have the right under GDPR Article 22 to request human review of any automated decision that significantly affects them. If you believe an automated decision has adversely affected you in a significant way (for example, if you believe your bid or review was incorrectly suppressed), you may contact us at
prohireclub@gmail.com to request a manual review. We will respond within 30 days.
11. Data Retention
We retain your personal information for as long as your account is active or as needed to provide services. After account deletion, we may retain anonymised data for analytics. We retain data as necessary to comply with legal obligations, resolve disputes, and enforce agreements.
Purchase transaction records may be retained for accounting and tax compliance purposes even after account deletion, but will be anonymised to remove personally identifiable information.

13. Children's Privacy
ProHire is not intended for children under 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected information from a child under 18, we will take steps to delete that information promptly.
14. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Platform or sending a push notification. Your continued use of the Platform after changes constitutes acceptance of the updated policy.

17. Jurisdiction and Applicable Law
This Privacy Policy is governed by the laws of Canada. Any disputes shall be resolved in the courts of the Province of Ontario, Canada.
ProHire complies with Canada's
Personal Information Protection and Electronic Documents Act (PIPEDA) for Canadian users. The Platform is designed primarily for users in Canada, the European Economic Area (EEA), Japan, and South Korea.
If you are located in the EU or EEA, you may also rely on your local data protection laws, including the GDPR, as well as any applicable national implementing legislation in your member state. Nothing in this policy limits your rights under applicable EU or EEA data protection legislation.

ProHire uses third-party service providers located in the United States of America to operate the Platform. Under APPI Article 28 we disclose the following:

Personal information protection system in the destination country: The United States does not have a comprehensive national law equivalent to Japan's APPI. However, each service provider below has implemented appropriate technical and organisational safeguards and has entered into data processing agreements with ProHire.

By using ProHire, you consent to the transfer of your personal data to the United States as described above. If you do not wish to consent to this transfer, please do not use the Platform.
18.4 Requests Regarding Retained Personal Data (保有個人データの開示等の請求 — APPI Art. 32–39)
You have the right to make the following requests regarding retained personal data held by ProHire:
- Notification of purpose of use (利用目的の通知): Request that we inform you of the specific purposes for which we use your personal data.
- Disclosure (開示): Request disclosure of the personal data we hold about you.
- Correction, addition, or deletion (訂正・追加・削除): Request that we correct inaccurate data or add/delete your personal data.
- Suspension of use or erasure (利用停止・消去): Request that we suspend use of or erase your personal data.
- Suspension of third-party provision (第三者提供の停止): Request that we stop providing your personal data to third parties.

19.4 Cross-Border Transfer (국외 이전 — PIPA Art. 28-8)
ProHire transfers personal information to service providers located outside of South Korea. In accordance with PIPA Article 28-8, we disclose the following. You may refuse this transfer; however, doing so means the Platform cannot be used, as these transfers are essential to its operation.

19.5 User Rights under PIPA (정보주체의 권리 — PIPA Art. 35–39)
You have the following rights regarding your personal information under PIPA:
- Right of access (열람): Request disclosure of the personal information we hold about you.
- Right to correction and deletion (정정·삭제): Request that we correct inaccurate information or delete your personal information.
- Right to suspension of processing (처리정지): Request that we suspend processing of your personal information in certain circumstances.
- Right to withdrawal of consent (동의 철회): Where processing is based on your consent, you may withdraw that consent at any time.

19.6 Retention and Destruction
Personal information is destroyed within
5 business days of the end of the retention period or the fulfilment of the purpose for which it was collected, whichever occurs first. Destruction is carried out in a manner that makes recovery impossible (electronic files are permanently deleted; physical records are shredded or incinerated).
Exceptions apply where retention is required by law. For example, payment transaction records may be retained for the period required under applicable tax and accounting laws, but will be anonymised to remove personally identifiable information once the legal retention obligation has been met.
